How to get more Google reviews (without breaking the rules)

Most happy customers never leave a review because nobody asked. Seven practical ways to get more Google reviews that follow Google's policies.

Most happy customers never leave a review. Not because they didn't enjoy the visit, but because nobody asked — and because leaving one takes more effort than it should. The good news: getting more Google reviews is mostly about removing that effort, at the right moment, in a way that follows Google's rules.

First, the rules

Google's review policies are short, and breaking them can get reviews removed or your Business Profile restricted. Before you start asking, make sure your process respects these three:

  • Don't offer anything in return. Discounts, free items or prize draws in exchange for a review are not allowed — even for honest reviews.
  • Don't filter who you ask. Asking only the customers you think are happy (often called "review gating") is against the policy. Ask everyone, or ask at random.
  • Don't write reviews yourself or ask staff, friends or family to review on behalf of customers.

Everything below works within these rules.

1. Ask at the moment of delight

The best time to ask is right after the customer felt good about you: when they pick up a finished order, thank you at the counter, or complete a service. A request that arrives a week later competes with everything else in their inbox. A request the same day — ideally within a few hours — reaches them while the experience is still fresh.

2. Make it one tap

Every extra step loses people. Sending a customer to "search for us on Google" asks them to find the right listing, scroll to the reviews and find the button. Instead, send a direct review link that opens the review form for your exact location. You can copy it from your Business Profile ("Ask for reviews" / "Share review form"), and if you manage several locations, each one has its own link.

3. Ask in person, then follow up in writing

A short, genuine "If you have a minute, a Google review really helps a small business like ours" from the person who served the customer works better than any automated message. Then make it easy to act on: hand over a card with a QR code, or send the link by email or message the same day.

4. Put a QR code where people wait

Counters, receipts, table tents, waiting rooms and the bag you hand over are all good places. People scan when they have a free moment. Keep the message simple — one line and the code — and point the code at a page that shows your Google button (and Facebook too, if you use it). Our guide to review QR codes covers where they work best.

5. Send a short, personal email

For businesses that have customer emails — clinics, salons, service companies, shops with online orders — a review request email is the most reliable channel. Keep it short, use the customer's first name, mention the location they visited, and have one clear button. Here's a template and the timing that works.

6. Reply to the reviews you already have

Customers notice when a business replies. A profile where every review gets a thoughtful answer signals that someone is listening — which makes the next customer more willing to write one. Reply to positive reviews as well as negative ones; it takes a minute and it shows.

7. Make it a routine, not a campaign

A burst of reviews followed by months of silence looks odd and doesn't help much. Steady, recent reviews matter more to customers than a big total from years ago. Build asking into your daily process — at checkout, in the follow-up email, on the receipt — so reviews keep arriving every week.

A simple weekly checklist

  1. Every customer gets asked once, in person or by message.
  2. Review requests go out the same day as the visit.
  3. Every new review gets a reply within two working days.
  4. Once a week, look at the negative ones together as a team: what can you fix?
The businesses with the most reviews aren't always the best ones — they're the ones that ask consistently and make it easy.

Review Sync Manager brings these steps together: review request emails with one-tap links, a QR code and poster for every location, and one inbox to reply to every Google and Facebook review.
